Every figure on this page is computed from the inputs entered, by the method stated below it. Tickmarko publishes no fee scale, no tax rate and no professional standard: the hours, the rate, the discount and the late-fee percentage are yours, and the defaults are a worked example to replace with your own figures.
An electronic document management system, EDMS for short, is software that stores documents as records rather than as files in folders: each one carries who it belongs to, what it is, when it arrived and what happened to it since. The category has a long history in large organisations, which is why the vocabulary around it is heavy: you will meet DMS, EDMS and EDRMS, where the extra R is records management and usually means a retention schedule and a disposal rule on top. Tickmarko is an EDMS built for one buyer, a small accounting practice, and this page is here because anyone comparing systems meets these words first and deserves a plain explanation of them.

A document becomes a record
The difference between a drive and a document management system is metadata: a record knows which client and engagement it belongs to, when it arrived and who put it there, so it can be found by any of those rather than by remembering a filename.
Versions replace each other without disappearing
A new version supersedes the old one and the old one stays. That single behaviour is what most people are actually buying when they say they need document management.
Retention is a decision, not an accident
Records management adds the question of how long to keep things and what to do at the end. Tickmarko keeps what you keep and exports on demand; it does not impose a retention schedule, because the right one depends on your jurisdiction and your professional body, not on us.
Electronic document management system: common questions
What is the difference between DMS, EDMS and EDRMS?
DMS and EDMS are used interchangeably for a system that stores documents as records with metadata and versions. EDRMS adds records management: retention periods, disposal rules and an audit trail designed to survive an inspection. Most small practices need the first and think they need the third.
Do I need a full EDRMS for an accounting practice?
Usually not. What a small practice needs is to find a client's document quickly and prove when it arrived. Retention rules matter, but they are a policy you apply, and a system that lets you export everything is a better answer than one that automates a disposal you cannot review.
Is Tickmarko an electronic document management system?
Yes, for one buyer. It stores documents as records against a client and an engagement, with dates, versions and an export. It is not a general purpose EDMS for a hospital or a council, and the fields would be wrong if it tried.

A practice of 90 clients with three years on file is choosing between 270 possible answers when a reviewer asks for one document, which is the whole argument for storing documents as records rather than as files.
