Every figure on this page is computed from the inputs entered, by the method stated below it. Tickmarko publishes no fee scale, no tax rate and no professional standard: the hours, the rate, the discount and the late-fee percentage are yours, and the defaults are a worked example to replace with your own figures.
Document workflow management is the route a document takes after it arrives: in, reviewed, marked as checked, filed. In a small accounting practice that route is usually real but unwritten, which is why it survives right up until the person who holds it in their head is on leave. The useful version of workflow for a practice of this size is not a designer with swimlanes in it. It is knowing, for any client, what has been asked for, what has arrived, what has been looked at and what is finished, without asking anyone. That is what Tickmarko tracks, and it deliberately stops there.

Requested
The request list names what you need from the client for this engagement. Until an item arrives it is outstanding, and the client can see that too, which does more chasing than a reminder email does.
Arrived and reviewed
A document that lands is dated and attributed. Marking it reviewed is the digital equivalent of the tickmark this site is named after: the sign that a person looked at it and it was what it claimed to be.
Filed against the engagement
Finished documents sit with the engagement they belong to, so the file for the 2025 accounts is the set of things that were actually used for the 2025 accounts, not everything that client ever sent.
Document workflow management: common questions
Is this a workflow engine?
No, and that is on purpose. There are no conditional branches, approval chains or automation rules to configure. A practice of one to twenty people needs to see status, not to build a state machine, and every practice we have watched configure one has ended up maintaining it instead of using it.
Can I set my own statuses?
The engagement statuses are fixed: proposed, in progress, delivered, billed and paid, closed. Documents are outstanding, arrived or reviewed. A fixed set is what makes two people's records comparable a year later.
Does it chase clients automatically?
The client sees their outstanding list whenever they open the portal. We do not send automated nagging on your behalf, because the tone of a reminder to a client is your relationship, not ours.

At six bookkeeping hours a month and a $95 rate, one hour lost to re-finding a document is $95 off the $684.75 that engagement earns, which is the whole case for knowing where a document is without asking.
