Document management for an accounting firm is not general file storage with an accounting logo on it. The unit is the client, not the folder: one client has an entity type, a year end, several engagements over several years, and a pile of records that arrived in a dozen different ways. What a practice actually needs is to answer one question quickly, a year after the work is done: which version of this did the client approve, and when did it arrive? Everything arrives against a client, not a folder
A document lands on the client record with the engagement it belongs to and the date it arrived, whether it came through the portal, by email or from your own desk. There is no step where someone decides which folder it goes in.
The version that counts is the one with a date on it
Replacing a document keeps the old one and stamps the new. When a client says they sent the corrected file in February, the record either shows it or does not, and neither of you has to search an inbox to find out.
A year later it is still findable
The file is filed under the client and the engagement, so producing it for a reviewer, a successor practice or the client themselves is a search rather than an excavation of three shared drives and a departed colleague's mailbox.

Is this a document management system or a practice management system?
A document management system. Tickmarko holds the client, the documents, the requests and the engagement paperwork. It does not record time, prepare returns, run a workflow across the whole practice or bill by the hour. If you need those, you need a practice management suite and we would rather say so than sell you half of one.
Can we put existing client files in?
Yes. Documents attach to a client and an engagement, so a back file goes in under the client it belongs to with the date it originally arrived rather than the date you uploaded it. What we do not do is guess which client an unlabelled file belongs to.
Who can see a client's documents?
Everyone in your practice with a login, and the client for the documents you share with them. There is no per seat charge, so the question of whether it is worth giving the new junior access does not arise.
